COVID-19 Positive Messages: Email Templates For Offices & Schools
The COVID-19 pandemic continues to be an inescapable part of our lives. While much has changed since the novel coronavirus first surfaced in early 2020, the need to protect yourself and your community is an ongoing reality.
Like most people, you hope to not come in contact with the virus at all. This being said, being prepared for moments if and when you do can help. When working in public spaces with others on a daily basis, it’s important to maintain proper communication.
As an educator or a leader in a corporate space, you may find yourself needing to circulate messages to students, their families, or employees about potential exposure to the virus.
It is essential to notify those in your environment if there has been a case of COVID-19 in order to protect against the spread of the virus. In some places, local health regulations make this mandatory; in others, it’s up to the choice of those in leadership roles.
Here are three email templates you can use to keep your community informed about someone testing positive for COVID-19.
COVID-19 Exposure Notice: School-wide Email
To all Sherman Oak School families,
We are writing to inform you that 8 students in our school community have recently tested positive for COVID-19. We have notified families of students who may have had close contact with these individuals to help contain the spread of the virus.
The Centers for Disease Control and Prevention (CDC) currently advises that people who are up-to-date with their COVID-19 vaccinations do not need to undergo quarantine. Up-to-date means:
- You have received all your primary series COVID-19 vaccines
- You have also received all the boosters that are currently recommended for people your age
You also do not need to quarantine if you’ve had a confirmed case of COVID-19 in the past 90 days by testing positive with a viral test.
If you haven’t received all the COVID-19 vaccines you are eligible for, the CDC recommends you quarantine for 5 days. This is if you have come in close contact with someone who has COVID-19. It’s advised you also monitor yourself for 10 days following your exposure for signs of fever, shortness of breath, a cough, and other COVID-19 symptoms such as a sore throat or chills. Please monitor all household members for symptoms of COVID-19 and stay home if you are sick. We truly appreciate your help in this matter and hope all members of our school community stay safe and healthy for a happy return to school. If a student in your household will be away from school for an extended period of time, please don’t hesitate to contact our administrative office and your student’s teacher for guidance with learning from home. We want all our students to have access to the tools they need to succeed at Sherman Oak and beyond.

COVID-19 Exposure Notice: Classroom Email
To all Grade 2B families,
We are writing to inform you that a student in your child’s classroom has tested positive for COVID-19. Out of an abundance of caution, we are notifying all families of students who may have had close contact with this individual in order to help contain the spread of the virus.
We ask that students experiencing COVID-19 symptoms stay home until they feel better. We also urge all classmates to test themselves and all household members for COVID-19 using a rapid at-home test.
Quarantining
There is often some confusion about who should quarantine following exposure to COVID-19. We are following the advice from the Centers for Disease Control and Prevention (CDC) when it comes to COVID-19 exposure.
Who doesn’t need to quarantine:
The CDC currently advises that people who are up-to-date on their COVID-19 vaccinations do not need to undergo quarantine.
Up-to-date means:
- You have received all your primary series COVID-19 vaccines
- You have also received all the boosters that are currently recommended for people your age and that you are eligible to receive
If you aren’t sure if you have received all your COVID-19 vaccines to date, we recommend you contact your family doctor for advice.
Note: students also do not need to quarantine if they have had a confirmed case of COVID-19 in the past 90 days by testing positive with a viral test.
Who should quarantine:
The CDC recommends students and household members who haven’t received all their COVID-19 vaccines, and who have been exposed to the virus, quarantine for 5 days. It’s advised you also monitor your child and yourself for 10 days following your exposure for signs of fever, shortness of breath, a cough, and other COVID symptoms such as a sore throat or chills.
The CDC’s current list of COVID-19 symptoms includes:
- Fever
- Chills
- Cough
- Sore throat
- Shortness of breath
- Fatigue
- Trouble breathing
- Muscle aches
- Headache
- loss of smell or taste
- Runny nose
- Congestion
- Nausea
- Vomiting
- Diarrhea
We advise students to stay home if they are sick. We truly appreciate your help in this matter and hope all members of our school community stay safe and healthy for a happy return to school.
If a student in your household will be away from school for an extended period of time, please don’t hesitate to contact our administrative office and your student’s teacher for guidance with learning from home. We want all our students to be able to access ongoing learning while undergoing quarantine if they are able to do so.

We encourage all our employees to get vaccinated against COVID-19. Please don’t hesitate to reach out to human resources to discuss options for working from home, if you choose to do so. In addition, if you have tested positive and your symptoms worsen, please don’t hesitate to reach out for the medical help you need.
